MONTHLY MEETING MINUTES

Others Present: Rick Pitrowski, Property Manager, Communities of America; Deputy George Murin, Sheriffs Department; Karen Uhlig, Publisher, IKare Publishing, Inc.; James Ransom and Bryant Johnson, Hillsborough Co. Solid Waste Department.

1. Call to order - D Hardy welcomed all to the meeting and asked everyone to remember our troops who are in harms way.
2. Waste Management Report - James Ransom and Bryant Johnson spoke about the responsibilities of the Countys Solid Waste Management Department which includes:
(1) Weekly pickups in our Community of 2 for household garbage, 1 plastic/glass recyclables, 1 paper recyclables plus a maximum of 12 bags of yard waste. Household chemical items (paint, aerosols, etc.) can be taken to the Sheldon Rd. facility on the first Saturday of each month. All other items not included in these pick-ups can be taken to the County Landfill on Linebaugh Ave. (Proof of residency and picture ID required.)
(2) The Community Code investigator for our Community is Lloyd Humphries.
(3) They also spoke about the Anti-litter multi-media Program to change the behavior and attitude of those who litter; the control and management of collection of collection expense (89%) and administrative costs (11%); the burning of trash which results in the sale of power to TECO; yard waste contracted and recycled by private companies.
(4) Mr. Johnson stated that a pilot Community Clean up Project has been successfully completed. Three (3) options available: curbside collection with prior notice of date; designated drop-off areas in Community; and, taking to landfill which seems to still be the best and most popular option which comes with no additional cost to residents, while the first 2 options would require an flat assessment to all customers.
(5) Also mentioned were The Cooperative Extension; Keep Hillsborough Beautiful and the Office of Neighborhood Relations that provides grant for Community pick ups, etc. If our Community decided to have a Community Clean-up Day, the on-site roll off cans would be staffed on a Saturday from 8-5; emptied as filled with a return check by the waste company on Sunday and at 5 days for pickup of any last items.
3. Newsletter Report
(1) CA Kapono has relinquished publishing of The Villager, the Communitys newsletter.
(2) Karen Uhlig, IKare Publishing, Inc., presented and reviewed her contract for printing it. She would also be available for creating and mailing any extra flyers that the Community might need.
(3) There will be no cost to the Community as she receives income from the advertisers. The contract would cover May 2005 through February 2006.
(4) Motion by CA Kapono to accept Uhligs contract proposal; second by M Kapono-Nelson. Motion passes 6-0. D Hardy volunteered to be the single contact with Uhlig.
4. Sheriffs Department Report
(1) Deputy George Murin reminded again that not only are the small scooters/bikes unsafe, they are not legal on streets, public sidewalks or county property. The deputies will continue to stop the riders and escort them home.
5. Meeting Minutes
(1) Corrections to November 2004 Minutes: M Kapono should be M Kapono-Nelson; the Sheriffs Report was presented my CA Kapono, not M Kapono.
(2) Motion by B Daly to approve the November 2004 with the above corrections; second by M Kapono-Nelson. Motion passes 6-0.
6. Property Managers Report
(1) R Pitrowski stated that Santas ride through our Community was again a big success.
(2) County Property status - still in Countys hands.
(3) Update on insurance reimbursements from resident for wall repairs
(a) The attorney reports that there has been no response from the responsible resident.
(b) Motion by CA Kapono to proceed with filing suit against the resident; second by M Kapono-Nelson. Motion passes 6-0.
(4) Sidewalk Repairs
(a) Board members received a listing of LGV Sidewalk repairs address/locations. 2 options: tear out and pour new; or, grind down to make level. Root trimming would be included. We would probably see work done more quickly if we selected the grinding method. Grinding will be acceptable.
(b) R. Pitrowski asked that any additional addresses be emailed to him within the next two weeks.
(5) Back entrance
(a) Ok to purchase sod to complete planting.
(6) Front entrance
(a) Electrical system - the overall set up is more complicated than it needs to be. Before the next meeting, R. Pitrowski will email quotes to the Board with the cost of a 6" jack and bore to replace the existing wiring. This will provide a safer, easier to maintain electrical system. He will also include updating the antiquated current system and cleaning up the hardware onto one mounting. R. Pitrowski warned that there would be an expense to this; however, it was really needed.
(b) Any freeze damaged flowers will be replaced by U.S. Lawns.
7. Old Business
(1) Traffic Calming Project is still an open item.
(2) Community website B. Daly is in contact with the young man that set up our original website. Once the domain name is transferred to the new host, the site will again be useable. The Board wishes to own the domain name.
(3) In response to an inquiry regarding a phone number for residents to call about Community issues, R. Pitrowski offered his company phone number as a contact.
(4) Townhouse Project
(a) Pinnacle Park, a townhouse community of approximately 326 units, is planned for property behind Monterrey and Cardiff. There is no evidence in the current plans for the developer to access through our Community; Olive Jones Rd. and Holloway Rd. will be the in/out roads.
(b) So that we may all be better informed regarding this project, D. Hardy announced a Public Meeting, February 3, 2005, at the Jewish Center on Gunn Highway. He encouraged residents to attend. Board members will be present.
8. Homeowners Association
(1) On behalf of the Board and the Community, Hardy thanked Dana and Jim Gilliam for their work to make the January 23rd Community Garage Sale a success. They did a great job at the front park!
9. Meeting Adjournment
(1) Motion by B Daly to adjourn the meeting; second by M Kapono-Nelson. Motion passes 6-0.
